We are looking to appoint a Property Management Assistant to join our dedicated Legal department at Sue Ryder.

About you

The ideal candidate we are looking for is self-motivated, able to work on their own and as well as part of a team. Previous experience of working in a property role with facilities or insurance knowledge would be desirable but good organisation skills and the ability to communicate at all levels is essential to succeed in the role.

• A proactive approach to problem-solving and the ability to handle multiple tasks simultaneously.
• Ability to work effectively in a team and independently when required.
• Basic to intermediate knowledge of finance and accounting principles.
• Demonstrated Proficiency in database management and MS Office applications, with the ability to learn new software quickly.

About the job

This role is crucial in ensuring the efficient and smooth functioning of the property management department by handling a variety of tasks that support property operations, financial transactions, data management, compliance with legal requirements, and contribute to the overall effectiveness of the property management function.
Some to the key duties are;

• Administrative Support: Perform a variety of administrative tasks to support the property management team, including but not limited to organising files, preparing reports, and handling correspondence.
• Business Rates Management: Assist in the administration and management of business rates, ensuring that all properties are correctly assessed and that payments are made promptly. This includes liaising with local authorities, disputing incorrect rate assessments, and applying for rate relief where applicable.
• Compliance Assistance: Support the team in ensuring compliance with legal requirements and lease terms by assisting with the collection and filing of necessary documentation and reports.
• Data Entry and Management: Accurately input and update information in property management databases (e.g. O6ix, TRACE/TRAMPS), ensuring all data regarding lease agreements, payments, and property details are current and correct.
• Assist with processing property-related payments, including but not limited to lease payments, service charges, and insurance invoices, requiring a basic understanding of financial principles to ensure accurate transaction handling.
• Invoice Processing: Assist in overseeing the invoice process, from receipt to payment, ensuring that all invoices match lease agreements and financial records.

• Proficient IT skills (emails/instant messaging/video calls/Excel/database management)
• Organisational Skills
• Excellent communication skills (stakeholder management)
• Attention to detail
• Team Player

Desirable Criteria
• Previous experience in a property role
• Knowledge of property facilities or insurance
• Experience of property management software and systems
• Education in business administration, finance, real estate, or a related field is preferred
