The Recruitment Assistant is key to support the recruitment, scheduling administration and onboarding administrative procedures relating to the recruitment, employment and onboarding of staff.

Job Content:

Working under the supervision of the Recruitment Manager this role will support the Recruitment and HR function to undertake all aspects of the full recruitment process, from job creation, candidate screening, though to the onboarding administration processes (internal and external) including:

This role will play a supporting role in the recruitment function for ILG, from role creation, the recruitment process (internal and external) through to successful onboarding and induction including:

• Monitoring and replying to general recruitment enquires via HR inbox or general enquiries line
• Updating job descriptions / company information, creating roles in the applicant tracking system and placing job advertisements on the ILG website / job boards
• Working with managers to ensure job descriptions and selection criteria reflect the requirements of the role
• Tracking and filing of interview matrix in line with gov guidance and timely shredding of outdated records
• Updating notice boards with ILG vacancies and jobs of the week, removing outdated information
• Sending first day emails in preparation for new starters joining ILG
• Ensuring inductions are scheduled in relevant managers and HR Advisors calendars and ensuring all checks have been completed prior to starting
• Managing expiry dates of roles / advertising. Closing or extending where necessary and communicating email outcomes via the ATS to candidates
• Communications such as organising / confirming interviews for candidates
• Communicating internally with hiring managers updating on recruitment statuses and candidates progress for their relevant roles
• Upkeeping and movement of candidates in the applicant tracking system to support hiring managers
• Application administration and screening calls with candidates to assess suitability for relevant applications
• Scheduling of interviews across systems and updating management on recruitment data and progress of candidates
• General administration of recruitment related documents and SOP’s
• New starter information processing and escalating queries where required, conducting right to work checks and storing information securely in personnel files
• Involvement in candidate attraction events such as careers fairs and internal projects
• Ad hoc duties on request to support internal / external communications and recruitment processes and administration.

Person Specification

• Educated to A Level or equivalent
• Adaptable and can manage a workload to changing priorities and business needs
• Capable IT skills to pick up new systems and edit website information / systems administration
• Reliable- a good timekeeper and good attendance record
• Sound Excel skills and accurate inputting data and tracking information
• Able to demonstrate sound administration skills in a role where accuracy and attention to details are paramount (essential)
• Sound communication skills, both verbally and written skills. Able to draft emails/letters conveying information.
• Previous experience of using HR software (desirable)
• Demonstrable experience CV screening, screening candidates and arranging interviews (desirable)
• Sound organisational skills to manage workload covering a range of disciplines. (essential)
• A small element of travel around West Sussex area may be required so driving licence and car is desirable

This is full time role working 40 hours a week, 9.00 till 18.00, Monday to Friday within a busy HR Department
