Project Manager II (Project Management Office Analyst)
Location: Aldermaston (virtual first)
Salary: up to £49,400

Current SC clearance is required, DV desirable but must be willing to obtain DV if not already held. Will consider strong candidates who may not hold clearances but will be able to obtain them.

The Project Management Office (PMO) Analyst will be a highly skilled and detail-focused individual who assists the project team by collecting, handling, interpreting, and presenting insightful business data. This role will be in the PMO team reporting to the PMO Manager. The successful candidate will be responsible for administration activities within the Project Management Office.

Day to day tasks include monitoring and managing the Project Portfolio to set up Handover and Acceptance into Service meetings, ensuring projects pass Acceptance into Service, and reporting project progress.

The Project Management Office Analyst will be responsible for delivering activities within the scope of the Project Management Office. This includes the following:
Operations
• Supports the activities of the PMO and the Programme Manager in meeting PMO objectives
• Proactively applies Project Management principles, theories, and concepts, as well as
• knowledge of related disciplines to work activities and projects
• Ensures availability of key PMO resources throughout holiday periods as directed by the PMO
• Manager
• Weekly chase of funding for projects and other orders
• Obtains customer acceptance of Risks
• Provides administrative management of Project Online (adding and removing users and
• resources)
• Provides Local Subject Matter Expertise for the time tracking system (Workforce Dimensions)
• Provides Local Subject Matter Expertise for the accounts SharePoint (user management,
• granting customer access to files)
• Assists and supports the PMO Manager, and the Sales Lead with ad hoc administration tasks
• Undertakes a weekly process to check status of Change Requests and chase for completion

Documentation
• Develops and maintains work instructions
• Manage project templates
• Produces and maintains documentation as directed by the PMO Manager

Processes
• Identifies opportunities to streamline processes within the PMO function taking responsibility
• for delivery where appropriate
• Assists in ensuring that the project teams follow the approved project methodology, meeting
• reporting standards and following the agreed processes
• Run Customer document approval process

Reporting
• Manages the Project Portfolio, which includes gather information and publishing weekly
• findings in a weekly report, for onward distribution
• Creates weekly and monthly reports for distribution to internal account and the customer
• Runs processes to update reporting system (Power BI)
• Weekly data validation
• (Power BI)

HoTs/AiS
• Manages and hosts internal project sessions relating to Handover to Service (HoTs)/Acceptance
• into Service (AiS)
• Manages and runs the internal AiS Process

Meetings
• Hosts fortnightly meetings with the customers’ PMO counterparts, gathers and documents
• action and tracks actions through to resolution
• Hosts monthly account Risk Management meeting

The ideal PMO Analyst candidate will possess the following essential attributes/skills to provide:
• Proven management experience in at least one service management area
• Demonstratable influencing skills at a senior level, including key customers, Senior Leadership, Service
• Lines, and technology teams,
• Excellent organisational skills, able to take a methodical approach
• Excellent communication skills, managing engagement at all levels including:
• Strong communication skills, verbal and written
• Be approachable and can communicate with a wide cross section of users and adjust
• engagement style to suit the circumstances
• Excellent interpersonal skills including acting as a single point of contact for senior business
• stakeholders (key customers and the Senior Leadership Team)
• The ability to support the PMO Manager and Senior Leadership in ensuring that services are
• managed to agreed levels of availability and performance
• Demonstrable proactive abilities to improve service
• Evidential critical thinking and problem-solving skills
• Proven track record in managing personal workload, and included into project management tooling
• Ability to work proactively within a busy environment
• SC security clearance, or willing to undergo clearance

Technical Capabilities
• Working with and creating Power BI reports
• Power Automate
• Project Online
• Excel (data analysis and reporting)
• PowerPoint
• Microsoft Word
• SharePoint administration
• Timecard administration (Preferably Workforce Dimensions)
• ServiceNow (working with catalogue requests)
• Knowledge of ISO9001 standards
• Experience of an industry standard Project Management methodology would be beneficial
• Understand complex IT updates and boil down to a simple update for the Project Portfolio

The ideal PMO Analyst will also have the following desirable attributes/skills to provide:
• Financial knowledge with an understanding of P&L and budget management
• Previous experience working with policies and procedures
• An understanding of developing process mapping
• High degree of competence creating and editing documents in Microsoft Office including Visio
