Role Purpose (-%Role purpose)

To optimise the efficient operation of the Executive Committee (EC) by providing a high level and proactive confidential executive support service to the Chief Operating Officer and Chief Financial Officer (COO & CFO), Chief Risk Officer (CRO) and Chief Legal and Compliance Officer (CLCO).

To work closely with the other Executive Associates, Corporate Governance team and others where appropriate to ensure that cover and support service for the Executive Committee is maintained.

Key Responsibilities (-%Key responsibilities)

The workload will be split across the COO, CRO and CLCO (approx. 1/3 of time spent on each ExCo member), however, the post holder will need to be flexible and adaptable to their needs or changing schedules. The duties across all the ExCo members will cover:

• Inbox Management - Monitor, screen, respond to and distribute incoming communications from internal and external contacts on behalf of COO, CRO and CLCO.
• Diary and schedule management. Proactively manage, coordinate and plan for Board and Committee timelines, key meetings and deliverables.
• Proactively prioritise utilise time management skills to meet deadlines, prepare for upcoming events and ad hoc priority issues that may require attention. Ensure that meetings, events are set up in a timely manner and that guests and meeting are logged.
• Ensure reports to the Board and Committees are maintained and kept up to date to meet key deadlines due by the COO, CRO and CLCO.
• Strategic co-ordination of key tasks for Executive Committee members, maintaining a strategic focus on key priorities, identifying shifting needs, anticipate upcoming issues and find ways to support the Executive Committee member goals.
• Document Control - Manage and maintain accurate, efficient and modern filing systems, moving to e-filing where possible. Photocopy and collate documentation as required. Minute meetings as and when required.
• Travel - working alongside the Executive Support team to ensure that travel across the business is fulfilled.
• Ensure that expenses and MCO declarations are submitted in a timely manner
• When necessary, collate documents, attend, minute and provide support for department meetings, ensuring that minutes and actions are delivered within the given timeframe.
• Invoice management - creating purchase orders, setting up new suppliers and ensuring that suppliers are paid on time.
• Working with the Executive Support team to ensure that cover and support is provided across the departments between core hours of work, keeping the team updated when cover is required.
• Knowledge Sharing - Work alongside the Executive Support team to share skills and develop new working procedures.
• Understand and deliver effective hybrid working methods for core deliverables. Be confident using MS Teams and other online applications to enable hybrid meetings, live events and cross Teams/face to face opportunities for the COO, CRO and CLCO to connect and engage with staff. • • Operational Efficiency - Review operating practices and implement improvements where necessary.

• Strong experience of high level professional administrative work, in particular working with senior management and key stakeholders in either financial or government sectors.
• Educated to Graduate standard or equivalent (e.g. appropriate NVQ or suitable level of experience).
• Must be fully conversant in Microsoft applications including PowerPoint and use of databases and able to learn new systems quickly.
